Who we are
Fate Sister Music Publishing Ltd is responsible for the personal information we collect through our website and artist membership service. We are the data controller for that information.
Email: info@fsmusicpublishing.co.uk
Postal address: 167–169 Great Portland Street, 5th Floor, London W1W 5PF, United Kingdom.
This notice covers our website, artist accounts, memberships, directory and contact enquiries. If a particular event, project or agreement involves additional uses of personal information, we will explain those uses when appropriate.
Information we collect
- Account details: your email address, account identifiers, password authentication information and correspondence about your account. WordPress stores password verification data rather than your password in readable form.
- Artist content: your artist name, biography, genre, town or city, chosen page address, photos, music and video links, website, social links and gig information. We also keep submitted updates and their review status.
- Enquiries: your name, email address, enquiry topic, message and any information or links you include.
- Membership information: Stripe customer and subscription identifiers, membership status and related billing records. Payment details are entered through Stripe’s checkout or billing service. Our artist plugin does not collect or store full card numbers or card security codes.
- Technical information: our hosting and security services may process IP addresses, request times, browser details and error logs. Contact and registration forms use a temporary identifier derived from your IP address to limit repeated submissions.
We receive information directly from you and receive payment and subscription information from Stripe. Visiting pages with external media may also involve the providers described below.
Please do not send passwords, card details or sensitive information that is not needed for your enquiry. Only upload content you have permission to share.
Why we use your information
| Purpose | Legal basis |
|---|---|
| Create and manage your account, membership and artist page; administer subscriptions and service messages. | Providing the service under our contract with you. |
| Discuss services you request before entering an agreement. | Taking steps at your request before a contract. |
| Answer general enquiries, review submissions and protect the site from misuse. | Our legitimate interests in communicating with people, maintaining a relevant artist directory and keeping our service secure, balanced against your rights. |
| Maintain records required for tax, accounting or other legal duties. | Compliance with applicable legal obligations. |
| Use information for optional purposes where permission is required, such as certain marketing or non-essential tracking. | Your consent, where applicable. You can withdraw it. |
Registration and contact forms are not newsletter subscriptions. Service messages about accounts, billing or profile review are separate from promotional marketing. If you receive marketing from us, you can ask to stop it.
We need an email address to create an account and the required contact fields to respond to a form enquiry. Optional profile fields can be left blank. Our site does not make solely automated decisions about you that have legal or similarly significant effects; artist submissions are reviewed before publication.
Your artist page is public
Approved artist pages are visible to visitors and may be indexed by search engines or shared elsewhere. Your artist details, biography, photos, listening links, videos, social and website links and gig information can be public. Your account email and billing records are not displayed as artist profile fields, unless you separately include that information in content you choose to publish.
Uploaded photos have publicly accessible file addresses, including while a page is pending review or no longer listed. Hiding a profile, cancelling membership or replacing a gallery selection does not automatically delete every uploaded file. Contact us if you want particular files removed.
Submitting changes returns the page to review. Changing your page address replaces its old link. An inactive membership hides the profile from the public directory, but is not an account-deletion request. We cannot control copies already saved by others or how quickly search engines refresh their results.
Who receives information
We use service providers to operate the website and respond to you. These include:
- IONOS: website hosting and related infrastructure.
- Stripe: checkout, payment processing and subscription management. Stripe also has its own responsibilities for information it handles. Read Stripe’s privacy policy.
- Email and technical support providers: delivering account and enquiry emails, hosting mailboxes and supporting the website where access is necessary.
- External media providers: YouTube/Google, Spotify, SoundCloud and Vimeo when their content is displayed or used.
Information may also be disclosed where required by law, to relevant professional advisers or to handle a dispute. Public profile content is shared with website visitors as described above. We do not sell your personal information.
Some providers operate internationally and may process information outside the UK. The relevant transfer arrangements depend on the provider, service and hosting location. Applicable UK requirements may call for an adequacy arrangement or approved contractual safeguards. Contact us for information about the arrangements relevant to your data and how to obtain details of any applicable safeguards. Providers’ own privacy information also explains their international processing.
How long we keep information
We keep information only while there is a reason connected to the purposes above. The period depends on the record:
- Accounts and profile records: while needed to provide or resume the service, deal with requested changes or closure and resolve outstanding account issues. Cancelling a subscription does not automatically remove your account or media. You can request deletion.
- Enquiries: while handling your message, related follow-up and any resulting agreement or dispute.
- Billing and business records: for applicable accounting, tax and legal requirements, which can continue after membership ends.
- Security records: for the period needed to prevent abuse and investigate problems. The contact form’s rate-limit identifier expires after 15 minutes; the registration form’s equivalent expires after one hour. Hosting logs and other security records have separate operational retention.
- Backups: information may remain until the relevant backup is replaced or expires. Removing information from the live site does not immediately remove every backup copy.
When deciding retention, we consider whether the purpose is still active, your deletion request, any unresolved issue and legal record-keeping duties. Ask us about a particular record or removal request using the contact details below.
Security & younger users
We use account permissions, authentication and validation to help protect information. No online system is completely secure. Keep your password private and contact us if you suspect unauthorised account access.
Artist membership is intended for adults aged 18 or over. If you are under 18, contact us with a parent or guardian before creating a public artist profile. If you believe a child’s information has been submitted inappropriately, please tell us so we can review it.
Your data protection rights
Depending on the circumstances, you can ask to access your information, correct it, erase it, restrict its use or receive a portable copy. You may also object to processing based on legitimate interests and to direct marketing. Where we rely on consent, you may withdraw it without affecting earlier lawful use. These rights have conditions and exceptions.
Email us to make a request; no special form is required. We may need proportionate information to confirm your identity. Requests are normally free and are generally answered within one calendar month, subject to applicable rules on clarification, identity checks and extensions. We will explain any extension or reason we cannot fulfil a request.
Read more about your rights on the Information Commissioner’s Office website.
